Pac-Man and the Ghosts of Everyday Property Management

Contractors who don't get back to you, unclear requests, plus phone, email and Excel lists: sometimes everyday property management feels like a maze full of ghosts. Our goal: everything that can be automated should run automatically, so your team has time for what only people can do.

Brigitte Moser — Head of Product, Allthings Technologies AG

Remember Pac-Man? A small yellow figure races through a maze, gobbling up everything in its path, at least until the ghosts catch up with it.

Sometimes working through tasks feels exactly like that to me. Does it to you, too? In everyday property management, the ghosts are contractors who don't get back to you, invoices that weren't booked correctly and unclear requests from residents. And the maze? Phone, email, Teams messages, Excel lists, filing and ERP systems, and you race through the corridors.

Our goal is to get rid of the ghosts. That's what the power pellet is for. With this special power, Pac-Man turns the tables and chases the ghosts. That's exactly what we want for your team. Everything that can be automated should run automatically, so the corridors are ghost-free for your actual work.

Where we stand today

Automation needs a solid foundation: every service you offer your owners becomes a task that is properly recorded, traceable and can be automated step by step. We have now laid this foundation.

Internal tasks (in beta). Not every piece of work starts with a report from residents. Internal tasks reflect what your team starts itself, directly in the Cockpit and in the same place as all other tasks.

Linked tasks. Related tasks can be linked to each other. That way it's clear at a glance what belongs to the same case.

Due date. Every task can have a due date. Your team sees what's next, and nothing gets left behind.

The power pellet

On this foundation, we're now building automation.

Templates. Recurring services from your mandate, such as a change of tenant or annual maintenance, are defined once as a task template with all the necessary steps. After that, they run the same way every time.

Tasks that create themselves. Instead of having to keep track of deadlines yourself, the system creates the necessary tasks in good time and assigns them.

Checklists. They guide you through the task step by step, and each step can be checked off individually. This provides certainty, especially for deputies or new employees.

People and AI employees on the same team. The biggest leap: in the future, your employees and AI employees will work on the same tasks. The AI takes over routine steps such as categorizing a report, asking for information or preparing a work order. Your team can see at any time what has been done and makes the decisions where experience and judgment matter.

What this means for your team

Chase the ghosts instead of avoiding them. We give you the tools to do it. Digitalization also lets you show your owners transparently what has been done and what is still pending.

Automation doesn't replace property managers. But it takes repetitive work off their hands and creates room for what only people can do: having a difficult conversation with a tenant, advising an owner, assessing a tricky situation on site.

Service center, issue management, ticket, Pendenz: for a long time, we had many names for the same thing. Why we're tidying up now, what task, step and request actually mean, and why everything in the Cockpit will soon simply be called “Tasks”.
